Connecting AAVMC’s Data with Data Sangria

The American Association of Veterinary Medical Colleges (AAVMC) uses several platforms to manage its members, events, and communications. re:Members serves as its AMS, Cvent handles event management, and Constant Contact supports email marketing.

The challenge is making sure the right information can move between those systems without creating extra work for staff. Data Sangria will connect these platforms so AAVMC can keep important member, event, and engagement data up to date across its systems.

Connecting Cvent and re:Members

One part of the project focuses on moving event data from Cvent back into re:Members.

Using Data Sangria, AAVMC’s Cvent attendance and applicable CEU data will sync to the AMS. The integration will match Cvent records to the correct person in re:Members and create or update the appropriate event registration on that individual’s record.

This means AAVMC staff won’t have to manually move the same event information from one system to another after an event.

The Cvent project also includes a single sign-on connection developed by AMS Geek. Members will be able to use their re:Members credentials during the Cvent registration process. Information from the AMS can then be used to populate registration fields and help determine the correct registration type based on the individual’s member type.

Together, the SSO and data integration will make it easier to keep event activity connected to the member information already stored in re:Members.

Connecting re:Members and Constant Contact

The second Data Sangria integration will connect re:Members and Constant Contact with a two-way data sync.

When contacts are added or updated in re:Members, the integration will send those changes to the appropriate mailing lists in Constant Contact. This helps AAVMC keep its email lists aligned with the member and contact information maintained in its AMS.

Information will also come back the other way. Constant Contact activity—including email sends, opens, clicks, bounces, and unsubscribes—will sync back into re:Members.

Instead of having email engagement live only in Constant Contact, AAVMC will be able to bring that activity back into the AMS alongside its other member information.

Keeping Data in Sync

Data Sangria’s role in this project isn’t to replace AAVMC’s existing platforms or perform a one-time data conversion. It’s there to keep the systems AAVMC already uses connected.

Both sides of each integration will remain in place, while Data Sangria handles the ongoing movement of data based on the requirements established for each connection.

For AAVMC, that means re:Members can continue serving as the central source for member information while Cvent and Constant Contact continue handling the jobs they were built for.

Making AAVMC’s Systems Work Better Together

AAVMC already has the technology it needs to manage membership, events, and email communications. This project is about helping those tools work together more effectively.

By connecting re:Members with Cvent and Constant Contact, Data Sangria will help AAVMC reduce manual data entry, keep information more consistent across platforms, and bring important event and engagement activity back into its AMS.

That’s ultimately what a good integration should do: make it easier for an organization to use the technology it already has.
